Informal Board of Directors' Meeting
July 8, 2021
Call to Order: President Sue Williams called the meeting to order at 10:30am. Meeting was held outdoors, with BOD members distanced and masked.
Present: Sue Williams, Linda Rudisell-Hines, Celina Haramis, Bonnie Newman, Sharon Smith, Barb Corol, Connie Hayes, Joyce McNiven, Allegra Willis (Zoom).
President's comments:
1. Sue Williams indicated that Barb Corol would be staying on the Board. Allegra Willis agreed to do the minutes for her for the remainder of the term.
2. Sue reported that Mary Bragg, former GG member, has expressed a desire to rejoin the Garden Guild. Sue indicated she would ask Mary to formally submit a written request per the By-laws and would be immediately accepted.
3. Sue also reported that she had approached the Riviera Alta management for permission to conduct the September Garden Guild meeting there but the request was denied due to concerns of having non-residents in the clubhouse during the Covid pandemic.
Other discussions:
1. The results of the initial survey to the membership indicated that 17 members reported being vaccinated. After the second reminder went out it appears that a total of 22 members reported being vaccinated.
2. Members discussed continued plans for the September 23rd Garden Guild meeting, that it could be primarily a 'welcome back' meeting and a chance to see each other and catch up rather than have a speaker and program.
3. A discussion of possible locations for the meeting was held. Bonnie suggested a vivero/restaurant next to the train station that might be available and it was decided to check this out further.
4. There was agreement from the Board that the meetings will be held requiring masks and social distancing and attending members would be required to have been vaccinated. No food or drinks would be served and no guests allowed.
5. Regarding Sunshine, Sharon shared that Twig Smye was feeling better, eating out and would be having radiation in August. Celina shared that Binky, a former member, was not doing well.
6. There was continuing encouragement related to resuming contact with members by posting short videos, member updates etc. Linda will post these on the website.
7. The next Board meeting was scheduled for August 5th at the request of Sue Williams.

Present: Sue Williams, Justine Bertram, Cathy Sheehan, Janet Capetillo, Janine Kirkland, Linda Rudisell-Hines, Celina Haramis, Bonnie Newman, DiAnne Maczko, Connie Hayes, Joyce McNiven, Allegra Willis (Zoom).
Discussions:
1. It was agreed that LGG should be in compliance with the current Mexican government Covid requirements when resuming the scheduling of live meetings. These requirements are outlined on the government websites. Sue Williams will check for the updated requirements shortly before the next Board meeting.
2. The Board decided that there would be no floral design show this year.
3. An optional survey will be sent to members to determine if they are vaccinated. Janet will include other information when she sends this survey out. She will inform members of the cancellation of the floral design show. She will ask how members feel about a meeting in September, etc.
4. The timing of LGG's first meeting was discussed. It was decided to announce that the first general membership meeting will be September 23 but it can be postponed if necessary. First meeting will be fun or special!!!
5. Sue Williams will check with Riviera Alta to see if it would be possible to hold the first meeting in September in their clubhouse as it is open to the air and social distancing would be possible. Members will distance and wear masks.
6. Barb Corol is unable to perform the duties of Recording Secretary due to severe arthritis in her hands. Various options were discussed for filling this position. Allegra offered to take on these duties if necessary.
7. Sunshine--Twig Smye spent 11 days in hospital as she had to return following her first surgery. She is requesting no visitors or calls at the moment as she goes through her recovery.
8. After resuming meetings, LGG will continue on with the existing BOD.
9. There was a lengthy discussion related to resuming contact with members in the interim before we resume live meetings. Many fun ideas, including posting short videos, collage on website, member updates etc. were proposed. Members will be invited to participate and Linda will post these on the website.
10. Dues. We have more than 83,000p at O'Rourke so the discussion of collecting dues was tabled at this time.
11. Next BOD meeting will be July 8th.
