                                                           Dear BOD and Committee Chair Members,
I regret to have to make this change to our much anticipated meeting.
Three of us have Covid and the number of infections in the Chapala area has never been higher. I felt that it would be prudent to hold our meeting with Zoom.
I know this is terribly disappointing but with Zoom we can accomplish our goals and actually see everyone's face! (and keep us and our spouses safe).
If you are not able to Zoom at home, can you get with someone else who can?

We have important work ahead and do not need to delay our assessment of how our members are feeling about resuming the meetings, etc. I have had several discussions with our new Recording Secretary, Jan Alswager, who offered to put a guide together outlining the topics and tone of the phone calls we intend to make with your help. 

I am attaching a word document of the 'survey' for our discussion in the meeting. Also you will see a current list of members so we can assign phone calls to those of us who wish to participate. You can use the survey guide to record the member responses. If you are able to print the document that will be great but otherwise we can have forms printed and delivered to you.
You will fill out one sheet for yourself as well.
Jan and I will compile the results and share them with you in order to use in our future planning sessions.
Please let me know if you need any help attending the meeting. 
We are keeping the same time as originally planned. 
If you have time please review the survey document and be prepared to give us your feedback.

Informal Board of Directors' Meeting
 June 3, 2021

Call to Order:  President Sue Williams called the meeting to order at 10:30am.  Meeting was held outdoors, with BOD members distanced and masked.
Present:  Sue Williams, Justine Bertram, Cathy Sheehan, Janet Capetillo, Janine Kirkland, Linda Rudisell-Hines, Celina Haramis, Bonnie Newman, DiAnne Maczko, Connie Hayes, Joyce McNiven, Allegra Willis (Zoom).
Discussions:
1.  It was agreed that LGG should be in compliance with the current Mexican government  Covid requirements when resuming the scheduling of  live meetings.  These requirements are outlined on the government websites. Sue Williams will check for the updated requirements shortly before the next Board meeting.
2.  The Board decided that there would be no floral design show this year.
3.  An optional survey will be sent to members to determine if they are vaccinated.  Janet will include other information when she sends this survey out.  She will inform members of the cancellation of the floral design show.  She will ask how members feel about a meeting in September, etc.
4.  The timing of LGG's first meeting was discussed. It was decided to announce  that the  first general membership meeting will be September 23 but it can be postponed if necessary.  First meeting will be fun or special!!!
5.  Sue Williams will check with Riviera Alta to see if it would be possible to hold the first meeting in September in their clubhouse as it is open to the air and social distancing would be possible.  Members will distance and wear masks.  
6.  Barb Corol is unable to perform the duties of Recording Secretary due to severe arthritis in her  hands.  Various options were discussed for filling this position.  Allegra offered to take on these duties if necessary.
7.  Sunshine--Twig Smye spent 11 days in hospital as she had to return following her first surgery.  She is requesting no visitors or calls at the moment as she goes through her recovery.
8.  After resuming meetings, LGG will continue on with the existing BOD.
9.  There was a lengthy discussion related to resuming contact with members in the interim before we resume live meetings. Many fun ideas, including posting short videos, collage on website, member updates etc. were proposed.  Members will be invited to participate and Linda will post these on the website.
10.  Dues.  We have more than 83,000p at O'Rourke so the discussion of collecting dues was tabled at this time.
11.  Next BOD meeting will be July 8th.
Meeting was adjourned at 11:20.
